Getting Started
What is VantagePoint
VantagePoint is a property management platform for landlords and property managers. It keeps your properties, tenants, leases, payments, and expenses in one place, and automatically records your accounting entries as you go.
Who uses VantagePoint?
Property managers and admins run the day-to-day operations from the main dashboard. Tenants get their own portal to view their lease, balance, and statement.
Does it handle accounting?
Yes. Payments and expenses you record in VantagePoint are automatically posted to your connected accounting book, so your books stay up to date without manual entry.
Creating your account
Live
You create your own VantagePoint account from the signup page. Everything you set up afterwards — properties, tenants, leases — belongs to your account and is visible only to you.
Open the signup page using the link you were given.
Enter your details including a working email address. This is where password resets and system emails are sent, so use one you check.
Choose a password and submit the form.
Verify your email if prompted. Open the verification email and click the link. If it has not arrived within a few minutes, check your spam folder.
Log in. You land on the Dashboard with an empty account ready to set up.
I signed up but never received the verification email.
Check your spam or junk folder first, and confirm you typed the address correctly. If it still has not arrived, contact support rather than signing up a second time — a duplicate account will not be linked to the first.
Logging in
Admins and tenants use the same login screen but land on different views based on their account type.
Go to the login page. Enter the email and password for your account.
Admins land on the main Dashboard with access to Properties, Units, Tenants, Leases, Payments, Expenses, Maintenance, and Documents.
Tenants land on the Tenant Portal, showing their unit, lease details, and account balance.
Forgotten your password? Use the reset link on the login screen. If you don't receive the reset email, check your spam folder before contacting support.
Your setup checklist
Live
A new account cannot do much until the basics are in place. The Dashboard shows a Finish setting up card walking you through the five things you need, in the order you need them.
Add a property. The building or complex you manage.
Add a unit. The space a tenant will actually rent.
Add a bank account. Where your statements come from. Set up under Settings → Bank Import Accounts.
Add a tenant. The person renting from you.
Add a lease. This links the tenant to the unit with rent and dates.
Each step ticks itself off as you complete it — there is nothing to mark manually. Only the next step you need is active; the ones below it stay greyed out until you get there.
The checklist disappeared. Did I break something?
No — the card hides itself once all five steps are complete. It will not come back, and it is not something you need again.
Why does the lease step stay locked?
A lease connects a tenant to a unit, so both have to exist first. Work down the list in order and each step unlocks the next.
Do I need a bank account if I do not use Bank Import?
Not to run the system day to day — you can record payments and expenses by hand. It is in the list because setting it up now saves you doing it later, and it costs nothing to add.
Properties & Units
Add a property
Live
Properties are the top-level entry for a building or complex you manage. Units, tenants, and leases are all attached to a property.
Go to Properties in the main navigation.
Click Add Property. Fill in the property name, type, address, and size.
Set the status. New properties default to Active. Use Disabled for properties no longer in use.
Save. The property now appears in your Properties list and becomes available when creating units, leases, and bank import selections.
Add a unit
Live
Units belong to a property and are what tenants are actually leased against.
Go to Units in the main navigation.
Click Add Unit and select the property it belongs to.
Fill in the unit details and save. The unit is now available to attach to a lease.
Property status & filtering
Live
You can search and filter properties by name, type, address, status, or size directly from the Properties list.
What do the status values mean?
Active properties are currently managed. Disabled properties are hidden from active workflows like Bank Import property selection, but remain in your records.
Tenants & Leases
Add a tenant
Live
Add a tenant's contact details before attaching them to a lease.
Go to Tenants in the main navigation and click Add Tenant.
Enter first name, last name, email, phone, and ID number. All of these are required. Emergency contact is optional.
Save. The tenant is now available to select when creating a lease.
Email addresses are checked for a valid format before saving. If you see an "Invalid Entry" message, double-check the email field first.
Add a lease

A lease connects a tenant to a unit, with rent and term details.
Go to Leases and click Add Lease.
Select the tenant and unit, then set the start date, end date, monthly rent, and lease status. All of these are required.
Deposit amount is optional, but if entered it must be zero or higher.
Save. The lease is now active and rent payments can be matched against it during Bank Import.

Why isn't a lease showing up when matching a bank payment?
Automatic tenant/payment matching during Bank Import only considers leases with an active status. Double-check the lease status if a payment isn't matching as expected.
Payments
Record a payment
Live
Payments can be added manually, or created automatically when a bank statement is imported and matched to a lease.
Go to Payments and click Add Payment.
Select the lease the payment applies to, enter the amount and date, and save.
Once saved, the payment is posted to your accounting book automatically.
Deleting a payment

Whether you can delete a payment depends on whether it has already been posted to your accounting book.
Why can't I see a Delete button on this payment?
Once a payment has been posted to Bkper, Delete is hidden to prevent VantagePoint and your accounting book from falling out of sync. Payments that were never posted can still be safely deleted.
Correcting a posted payment
Coming soon
A proper Void action for already-posted payments — preserving the audit trail while neutralizing the amount — is planned but not yet available. Until then, posted payments have no in-app corrective action.
Expenses
Record an expense
Live
Expenses can be entered manually, or created automatically from a bank statement import.
Go to Expenses and click Add Expense.
Fill in the required fields and save. The expense is posted to your accounting book automatically.
Filtering expenses

Use the Property filter on the Expenses page to narrow the list down to a single property, or select All to see everything.
Bank Import
Upload a bank statement
Live
Bank Import reads a statement file, matches rent payments to leases, and uses AI to categorize everything else — so you don't have to enter transactions by hand. Nothing posts to your accounting book until you review and confirm.
Go to Bank Import.
Select the bank account this statement belongs to from the Bank Account dropdown. If you manage multiple bank accounts, select the correct one — this determines which accounting book the transactions post to.
Select the property from the Property dropdown. This attributes every transaction on the statement to the correct property.
Drop your bank statement PDF or click to browse, then click Upload and Import.
VantagePoint processes the statement: rent payments are matched automatically to active leases, and all other transactions are sent to the AI categorization engine.
Once processing is complete, the Review Transactions panel opens automatically showing all categorized transactions for your confirmation before anything is posted.
Make sure the statement password is saved under Settings → Bank Import Accounts before uploading a password-protected PDF. An incorrect or missing password will fail the import and show a red status in Import History.
Which banks are supported?
Statement reading is currently built around the ABSA PDF layout. Statements from other South African banks are not yet read correctly and support for them is in progress. If you bank elsewhere, speak to support before relying on Bank Import.
Can I upload a CSV instead of a PDF?
Upload the PDF. CSV files are accepted by the form but are not processed the same way and will not give you reliable results.
Which way round are money in and money out worked out?
From the running balance column on your statement, not from the wording of the description. That means a payment described in an unusual way is still recorded on the correct side. If the direction genuinely cannot be determined, the transaction is flagged for your review rather than guessed at.
AI categorization

VantagePoint uses AI to automatically assign each non-rent transaction to the correct income or expense category in your accounting book, based on the transaction description and amount.
How does it decide which category to use?
The AI reads the transaction description and amount, determines whether money came in (income) or went out (expense), then selects the closest matching account from your Bkper accounting book. Common transactions like rates, insurance, repairs, and bank charges are recognized automatically.
What if a transaction has no useful description?
Transactions with generic references (like a debit order number or blank description) fall back to a general category — Other Income or Other Expenses. You can correct these during the Review step before posting.
Can I correct an AI categorization?
Yes — the Review panel lets you change the category and property on any transaction before posting. Nothing is permanent until you click Accept All. Once posted, transactions are locked and cannot be changed without contacting support.
How corrections are remembered
Live
You only have to correct a category once. When you change a category in the Review panel and post the batch, VantagePoint remembers the pattern and applies your choice automatically on every future statement.
Correct the category on a transaction in the Review panel as normal.
Post the batch. Your correction is saved as a rule at the same time.
Next month, the same kind of transaction comes through already correct — no AI guess, no correction needed from you.
The more you correct, the less there is to correct. Most managers find the first statement needs several changes and later statements need almost none.
How does it know two transactions are the same kind?
It compares the description with the dates and amounts stripped out, so the same recurring payment is recognised each month even though the amount changes. Account numbers are kept, so two different debit orders from the same bank are told apart correctly.
I corrected something to the wrong category. How do I undo the rule?
There is no screen for managing saved rules yet. Contact support with the transaction description and the category it should be, and it can be removed for you.
Does this work across my different properties?
Rules are saved against your account, so a correction made on one property applies to matching transactions on all of them.
Review & post transactions
Live
Before anything posts to your accounting book, you review every transaction the AI has categorized. This is your opportunity to correct anything before it becomes a permanent accounting entry.
The Review panel opens automatically after processing completes. Each row shows the transaction date, description, amount, and the AI-suggested property and category.
Check each row. If the suggested category or property looks correct, leave it as is. If not, use the dropdowns to select the right option.
Click Accept All Posts once you are satisfied. This posts every transaction simultaneously to both VantagePoint (Expenses and Payments tables) and your Bkper accounting book.
Important: Once you click Accept All Posts, transactions are locked and cannot be edited. If a correction is needed after posting, contact support — changes to posted accounting entries require a manual correction in both VantagePoint and Bkper to keep your books in sync.
Can I post only some transactions and not others?
Not yet — Accept All Posts the full batch. If you need to exclude a specific transaction, change its category to a placeholder or general account and make a note to correct it afterward. Selective posting is on the roadmap.
What happens if I close the Review panel without posting?
The import is saved with a Pending Review status in Import History. You can reopen the Review panel from Import History at any time until you accept the batch.
Duplicate import protection

Importing the same statement twice would double every figure in your books. VantagePoint prevents this automatically — you do not need to keep track of what you have already uploaded.
How does it work?
Every import records the period the statement covers, taken from the first and last transaction on it. When you upload, that period is checked against everything already imported for the same bank account. If it overlaps, the upload is rejected before anything is processed or posted.
What do I see if it catches one?
A message telling you this statement period has already been imported for this bank account. Nothing is staged, nothing is posted, and nothing in your books changes. The attempt is logged in Import History as Failed so you have a record of it.
Will it block my next month by mistake?
No. Statements that simply run up against each other — one ending on the 1st and the next starting on the 1st — are treated as consecutive, not overlapping, and import normally.
I have two bank accounts covering the same month. Is that a problem?
No. The check is per bank account, so each account can have its own statement for the same period.
An import failed and I want to try again.
Failed imports are ignored by the duplicate check, so you can re-upload after fixing a wrong password or a bad file without being blocked.
Imports made before this protection was added are not covered by the check. If you have very old imports you are unsure about, ask support to confirm before re-uploading a statement from that period.
Import history
Live
Every statement you upload is logged with its filename, date, bank account, and processing status, so you can confirm an import completed successfully or revisit a pending batch.
What do the statuses mean?
Processing — the statement is being parsed and categorized by AI. This usually takes under 30 seconds.
Pending Review — processing is complete and transactions are ready to review. Click the row to open the Review panel.
Completed — all transactions have been accepted and posted to your accounting book. This import is locked.
Failed — the statement could not be processed, usually due to an incorrect password or unsupported file format. Check the error message on the row and re-upload with the correct file or password.
Can I re-import a statement I already posted?
No — and you do not need to worry about accidentally doing so. VantagePoint checks the period of every statement you upload and rejects anything covering a period already imported for that bank account. See
Duplicate import protection.
The time on an import looks wrong.
Import times are currently recorded in UTC, which is two hours behind South African time. An import you did at 10:00 will show as 08:00. This is a display issue only and does not affect your figures.
Multiple bank accounts

VantagePoint supports multiple bank accounts per client — including a single bank account that covers more than one property. Each account is set up once under Settings and then available to select every time you upload a statement.
Go to Settings → Bank Import Accounts.
Click Add Account and fill in the account name, bank name, account number, branch code, statement password (if the PDF is password-protected), and the property it belongs to. If this account covers multiple properties, leave the Property field blank — you can specify the property each time you upload.
Save. The account now appears in the Bank Account dropdown on the upload form.
Why is my bank account not appearing in the upload dropdown?
Check that the account was saved correctly under Settings → Bank Import Accounts. If it was just added, try refreshing the page. If it still doesn't appear, confirm your user role has access to Settings.
Transactions
Money in & money out
Live
The Transactions page shows every amount that has moved through your bank account, in one list, with three totals at the top: Money In, Money Out, and Net Movement.
Go to Transactions in the main navigation.
Set the period you want to look at using the date controls.
Filter by property to narrow everything down to one property, or leave it on All Properties.
Is this the same as a profit and loss report?
No. This page follows the money in and out of your bank account, in the same way your bank statement does. Some amounts that move through the account are not income or expenses at all — money you put in yourself, for example, counts toward Money In but is neither.
Some transactions show as Unassigned. What does that mean?
They have not been attributed to a property. They are shown rather than hidden, deliberately, so that the totals on this page always reconcile to your bank account. Assign them a property to have them appear under that property's filter.
Can I choose any date range I like?
Periods are chosen by month, not by individual day. This follows how the underlying accounting records are queried.
Exporting to CSV
Live
Export what you are looking at to a spreadsheet file, for your accountant or your own records.
Set the period and property filter so the page shows exactly what you want.
Click Export. A CSV file downloads containing the current view — the same rows you can see, nothing more and nothing less.
Can I export a trial balance or a full report set?
Not from here. Full accounting reports are generated from your connected accounting book, which produces them natively and keeps them consistent with your other records.
Maintenance & Documents
Log a maintenance request

Go to Maintenance and click Add Request.
Fill in the details of the issue and save. Required fields are marked and validated the same way as other pages.
Upload a document

Go to Documents and click Upload.
Choose the file and attach it to the relevant property, tenant, or lease, then save.
Tenant Portal
Logging in as a tenant

Tenants log in with the email and password set up by their property manager, and land directly on their portal.
Viewing your balance & statement

The Tenant Portal shows your unit, lease dates, running account balance, and payment history in one place.
My balance looks wrong. What should I do?
Contact your property manager directly — they can check recent payments and confirm everything has been recorded and posted correctly.
Statements & reminders
Live
Tenants receive emails from VantagePoint directly — a monthly statement showing what is due, and reminders if rent goes unpaid.
What is in the monthly statement email?
The tenant's name and unit, the amount due, the due date, and the payment reference to use. Your banking details and your contact details appear at the bottom.
What happens if rent is not paid?
Reminders escalate automatically. A courtesy reminder goes out once rent is overdue, a firmer one after a week, and a final notice after two weeks. Each shows the amount and how many days it has been outstanding.
A tenant says the reminder is wrong — they have paid.
Reminders are based on payments recorded in VantagePoint. If the payment came in by bank transfer and you have not yet imported that month's statement, it will not have been matched. Import the statement, or record the payment manually, and the reminder stops.
My company name is missing from the bottom of the emails.
The footer is filled from your company profile. Go to Settings → Company Profile and complete your company name, contact name and phone number.
Why does the payment reference matter?
It is how a payment arriving in your bank account is matched back to the right tenant automatically during Bank Import. A tenant who pays without it can still be matched, but less reliably — encourage them to use it.
Making a payment

Paying rent directly from the Tenant Portal is planned but not yet available. For now, continue paying rent using your usual bank transfer method, and your property manager will match it to your account once the statement is imported.

FAQ
Common questions
Why do I see "Invalid Entry" when saving a form?
One or more required fields don't meet the minimum requirement — usually a field left blank or too short. Check each field on the form and try again.
Why can't I delete a payment or expense?
Once a record has been posted to your accounting book, deleting it in VantagePoint would leave your books out of sync, so Delete is hidden. This is intentional.
A bank import transaction was categorized incorrectly. What do I do?
If you haven't posted yet — correct it in the Review panel before clicking Accept All Posts. Use the category dropdown on that row to select the right account, then post. If it's already been posted and locked, contact support — corrections to posted entries require a manual fix in both VantagePoint and your Bkper accounting book to keep your records in sync.
I uploaded a statement and it was rejected as a duplicate, but I do not think it is.
The check looks at the period the statement covers, not the file itself. If you downloaded the same month again from your bank under a different filename, it is still the same period and will be rejected. If you believe the period genuinely differs, check the first and last transaction dates on the PDF against your previous imports.
Something is greyed out or locked in the menu.
That feature is not included in your current plan. The features on each plan are listed on the pricing page. Contact support if you think you should have access.
A transaction was categorized wrongly and I corrected it — will it stay corrected?
Who do I contact for support?
Reach out to your VantagePoint administrator or support contact with a description of the issue, and screenshots if possible.
